This privacy policy sets out the way we process your personal data and we’ve created this privacy policy to make sure you are aware of how we use your data as someone who has registered with or contacted us about our club.
How we collect your information:
We may collect personal data in a few limited ways, namely:

Directly from you, when you fill in a registration or other applicable forms, when you make enquiries through our website, when you call, message or email us either directly or through a school or another third party (i.e. a friend or family member) on your behalf, when you subscribe to, comment on or contact us via our YouTube Channel: Marmalade Recipes or request to follow, leave a comment or contact us via Marmalade Food Club on Instagram.

The types of information we collect:
We may collect the following types of personal data from you:

Contact and communications information, including your contact details and others that you have provided (including names, email address(es) and telephone numbers and records of communications and interactions we have had with you).

Age, year group and teaching class; we will collect this information to ensure you, family members or children in your care are placed on age appropriate courses, or arranged in age or friendship appropriate groups and for safeguarding purposes such as collecting/accompanying children from their classrooms where necessary.

Details relating to allergies, intolerances, dietary or other special needs/preferences you, family members or children in your care may have in order to ensure safety, safeguard and comply with personal preferences you/they may have i.e. following a vegan diet, not wishing to take part in Halloween activities and such like. Such details are also collected so that adequate and suitable provision of care can be established and provided i.e. for children with Autism spectrum disorder (ASD)/other needs.

Your consent for first aid to be administered when necessary.

Your consent for anyone in your care under the age of 18 to participate in a class (including online classes).

Your consent and details for anyone in your care under the age of 18 to leave the session premises by themselves or with other named person/s.

Your consent for anyone in your care under the age of 18 should we wish to photograph them or record online classes or other class footage for the sole purposes of promotional material to promote Marmalade Food Club through our website or publications such as flyers and leaflets or for training purposes or for safeguarding reasons; where recorded class content might provide information or evidence in the event of a safeguarding query, concern or investigation.

Certain other information which you volunteer when contacting us or registering with a service provided by us.

Certain information which you volunteer when subscribing to, choosing to follow or leaving comments or direct messaging through any social media platforms on which we operate/have a presence on such as YouTube and Instagram.

We may also collect data about health or medical conditions, where you have volunteered this or responded with this information so that we can cater for this when attending a class/course/camp.

How we use personal data:
Personal data provided to us will be used for the purposes set out at the time of collection and, where relevant, in accordance with any preferences you express. More generally, we will use your personal data for the following purposes:

Storing your details from and on the software platform/s we use for our online class booking/registration systems (please note that your own use of the software or system is subject to the Terms and Conditions and Privacy Policy published on that site); where this is necessary for our legitimate interests (for example registration purposes, safeguarding entry to a zoom meeting, increasing use of our club participation.

Storing your details on word processing systems using Malware protected hardware.

Confidentially as a hardcopy available at our sites when classes are in operation to ensure we hold easily accessible key and emergency contact information and for the purpose of maintaining a class register for safeguarding purposes.

Promoting our club and promoting goods and services of third parties (for example, equipment or ingredient suppliers) where we think this will be of interest to you; where this is necessary for our legitimate interests (or the legitimate interests of a third party), and/or where we have your consent, as applicable.

Your marketing preferences:
We will always respect your wishes in respect of what type of communications you want to receive from us and how you want to receive them. There are some communications, however, that we need to send you regardless of your marketing preferences in order for us to fulfil our contractual obligations to you as a class participant or parent/carer of a class participant. Examples of these essential service communications are:

Records or updates of transactions, such as payments made (as applicable).

Club participant related mailings such as reminders, renewal details, notices of changes to class details, new term details and information about openings and closures (when applicable).

Where we need to contact you in an emergency relating to a medical need/other needs, in relation to a class participant in our care.

Sharing your information with others
We do not sell or share your personal data for other organisations or persons to use other than as set out below. Personal data collected and processed by us may be shared with the following third parties, where necessary:

Our employees and volunteers, for the purposes of administering your registration and giving you access to the club activities which you are entitled to and for the purpose of safeguarding and providing correct and adequate care and support to class participants during a class session/camp/activity.

Our employees and volunteers, for the purposes of training.

School offices for the purpose of safeguarding so that they and the class teachers hold a register of participants at our club when held at their school as a venue.

Official or legal representation should this be required in the event of a query, concern or investigation.

How long your information is kept:
We keep your personal data only for as long as necessary for each purpose we use it. For most cases, this means we retain it for so long as a participant is actively attending our club or remains on the waiting list to access attendance of our club and then for a period of six years after your last interaction with us (for accounting, tax reporting and record-keeping purposes). Your rights:
Under certain circumstances, by law you have the right to:

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
